Most appointment messages are written in a hurry, between one customer and the next. That's how you end up with a reminder that forgets the time, or a no-show message that sounds like a scolding.
Below are six messages for the six moments that matter, ready to copy. Replace what's in brackets, save them as quick replies in WhatsApp Business, and you'll never write them from scratch again. Why reminders work, and the WhatsApp rule behind automatic ones, is in WhatsApp reminders: how to cut no-shows.
Before you copy: 4 rules
- One action per message. "Reply here to reschedule" works better than three options.
- The same reply words everywhere. If the confirmation says "reply YES", the reminder says "reply YES" too. Changing them confuses customers.
- Write in your customer's language. Someone who booked in Spanish should get the reminder in Spanish (see the last section).
- Send during the day. A reminder at 11 p.m. for tomorrow morning is more annoying than useful; stick to something like 8 a.m. to 9 p.m. in the customer's time.
1. Confirmation — right after the booking
When: as soon as the time is booked. It's the moment to catch a wrong day or time, while the customer is still looking at the chat.
Hi [Name], you're booked for [service] with [professional] on [day] at [time]. See you at [Business]! Reply here if you need to change anything.
2. Reminder — the day before
When: about 24 hours before. It leaves time to reschedule, and time for you to offer the slot to someone else.
Hi [Name], a reminder from [Business]: your [service] is tomorrow, [day], at [time]. Reply here if you need to reschedule or cancel.
3. Reminder — shortly before
When: about 1 hour before. Short, because the customer already knows the details.
Hi [Name], see you today at [time] at [Business]. Running late or can't make it? Just reply here.
4. When the customer says they can't make it
When: right away. The faster you offer another time, the more likely you keep the customer — and you free the old slot for someone else.
No problem, [Name], thanks for letting us know! I can do [option 1] or [option 2]. Which works better for you?
5. After a no-show
When: within the first hour after the missed time, while the customer still remembers. Assume there was a good reason: the goal is to rebook, not to blame.
Hi [Name], we missed you today at [time]. Hope everything is okay! Would you like to book another time? Reply here and I'll send you options.
No answer? One shorter nudge the next day — and then stop. A third message reads as pressure.
Hi [Name], still want to book your [service]? Reply YES and I'll send you times.
6. A spot opened up (for the waitlist)
When: as soon as someone cancels. Message whoever was waiting for that day first.
Hi [Name], good news: a spot opened up on [day] at [time] for [service]. Want it? Reply YES and it's yours.
If you take a deposit
Say the rule before the appointment, once, in the confirmation — never for the first time after a no-show. For example, add to message 1:
To hold your time we ask for a [amount] deposit, refundable if you cancel up to [hours] hours before.
The same messages in Spanish and Portuguese
If some of your customers write in Spanish or Portuguese, here are messages 1 and 2 in each language.
Spanish:
Te esperamos no [Negócio]! Se precisar mudar alguma coisa, é só responder aqui.
Oi [Nome], passando pra lembrar: seu [serviço] no [Negócio] é amanhã, [dia], às [hora]. Se precisar remarcar ou cancelar, é só responder aqui.
What rmAgentBooking sends for you — and what stays with you
In rmAgentBooking, the AI receptionist confirms the booking in the conversation itself, and the reminders (about 24 hours and 1 hour before) go out on their own, in the customer's language. When the customer replies that they can't make it, she reschedules or cancels right there, and a canceled time is offered to the first person on the waitlist.
What stays with you: the message after a no-show. In the app you mark who didn't show up, and the follow-up — message 5 above — is yours to send, in your own words. Want to see her in action? Chat with Ava, the receptionist of Demo Studio, a sample business.
